Server logs

When you open a page, your browser sends technical data to our web server, such as your IP address, the time and the page requested.

Our web server (Hetzner, Germany) keeps technical access logs for up to 7 days to run and secure the site. IP addresses in the access log are shortened before they are stored, and error logs that may contain a full IP address are also deleted after 7 days. We use no cookies and no analytics, and we don’t pass the logs to anyone.

The legal basis is our legitimate interest in running and securing the site (Art. 6(1)(f) GDPR).

The website is hosted by Hetzner Online GmbH, data centre in Falkenstein, Germany.

When you email us

We use your email address and your message to answer you and, if you ask for one, to arrange a demo. We keep your emails only as long as needed to answer and follow up, and delete them at the latest two years after our last contact, unless the law requires longer.

The legal basis is our legitimate interest in answering your enquiry (Art. 6(1)(f) GDPR) and, if you ask for a demo or offer, steps taken at your request before a contract (Art. 6(1)(b) GDPR).

Who receives your data

  • Hetzner Online GmbH hosts this website for us as a processor under a data processing agreement (Art. 28 GDPR), in Germany.
  • Our email is provided by Google Cloud EMEA Limited (Google Workspace), Ireland, also as a processor.
  • Google may store and process our mail in any country where Google or its sub-processors have facilities, including the United States. Google lists its sub-processors and where they work on its sub-processor page.
  • For the United States, Google LLC is certified under the EU-U.S. Data Privacy Framework, which the European Commission recognises as giving adequate protection (Art. 45 GDPR). For other countries, Google uses the EU’s standard contractual clauses (Art. 46(2)(c) GDPR). You can ask us for a copy of these safeguards.
  • We don’t sell your data or pass it to anyone else, unless the law requires it.
  • Apart from our email provider, we don’t transfer your data outside the EU or EEA.

Good to know

  • You don’t have to give us any personal data. Without your email address we can’t answer you.
  • We make no automated decisions or profiles about you.

Your rights

Under the GDPR and the Spanish data protection act (Ley Orgánica 3/2018, LOPDGDD), and, if you are in Switzerland, the Swiss Federal Act on Data Protection (FADP), you can ask us to:

  • tell you whether we hold personal data about you, and give you a copy;
  • correct data that is wrong;
  • delete your data when we no longer need it;
  • restrict how we use it, or object to our using it;
  • give you the data you provided in a common, machine-readable format.

You can object at any time to processing based on our legitimate interest.

If you think we handle your data wrongly, please tell us first. You can also turn to a supervisory authority: the Spanish Agencia Española de Protección de Datos (AEPD), which is responsible for us; in Switzerland, the Federal Data Protection and Information Commissioner (FDPIC); or the data protection authority where you live or work in the EU or EEA.

To exercise these rights, email polis@polis.guru with the subject “Privacy”.
